Procurement Coordinator

Salary: $34.73 to $43.40

Summary

Under the general direction of the Finance Manager, provides procurement and financial support to the organization in accordance with related legislation, CDSB policies and procedures, and CDSB Vision & Values.

Key Responsibilities of Position

  • Develop and recommend policy related to purchasing and procurement
  • Provide knowledge and guidance to all departments in accordance with CDSB’s procurement policy
  • Monitor and maintain the purchase order system and related records
  • Track shipments, upload shipping documents into the invoice system
  • Act as the main point of contact for vendors and suppliers regarding orders, shipments, returns
  • Co-ordinate vendor activities including vendor relations, accounts, gathering price data, and comparing vendor offers
  • Source supplies, obtain quotes and negotiate best pricing, and assist with negotiating contracts across all departments
  • Receive purchase requisitions, analyze purchase requests, identify appropriate vendors, issue purchase orders
  • Assist with and/or prepare, analyze, and assess RFP’s, RFQ’s, and RFT’s
  • Verify invoices against contract terms
  • Develop and maintain protocols to track inventory and replenish as needed
  • Oversee / Administer p-card and credit card systems
  • Review and monitor purchases, including credit card purchases, to ensure compliance with CDSB policy
  • Identify and implement process improvements related to procurement, purchasing, and inventory
  • Perform financial analysis and internal reporting as required
  • Assist with month end / year end procedures as required
  • Review and compile data to assist with financial and Ministry reporting
  • Other duties as required

Job Requirements

  • Knowledge of financial statement presentation and budget preparation
  • Knowledge of government finance and procurement practices
  • Knowledge and understanding of procurement best practices, tendering processes and contract management
  • Must have effective analytical, research, and strategic thinking skills
  • Must have strong verbal and written communication and interpersonal skills with the ability to demonstrate effective leadership skills to drive change
  • Proficiency in the use of computer technology including Microsoft Office Suite, financial systems (Accpac, Yardi)
  • Knowledge of risk management is an asset


Education & Experience

  • Minimum of 2-year College Diploma in Business Administration or Accounting or a combination of education and experience acceptable to the employer
  • Completion of, or commitment to obtain a Diploma, Certificate, or Designation in supply chain management for public procurement
  • 2 years of applicable experience within an automated accounting environment


Conditions of Employment

  • Satisfactory Criminal Records Check
  • Must possess and maintain a valid Ontario “Class G” driver’s license and have access to a reliable vehicle
  • Travel may be required.
  • May be required to work irregular hours.
  • Out of office work required.
  • Must maintain confidentiality.
  • Bilingual is an asset.
