Summary:
The Administrative Assistant to the Law Development Liaison to provide general secretarial and clerical services including receptionist duties for assigned office in all matters Law Development ensuring alignment to support the advisory committee and research team with the legal framework of the Kaa Yaa Ma Sta Ma Ket family wellbeing.
DUTIES AND RESPONSIBILITIES:
A. General Secretarial Duties
· Types and ensures accuracy and proper distribution of reports, memos, forms, and other material for assigned service teams.
· Composes and types of routine letters from verbal and written instruction.
· Sorts and distributes incoming and outgoing mail.
· Provides reception relief on a rotational schedule including answering and directing telephone calls, message taking, greeting, and providing information to clients and public.
· Provides information and orientation to front line workers and collaterals regarding administrative procedures.
· Operates and maintains essential office equipment e.g., fax, photocopier, printer, shredder, telephone system etc.
· Maintains and balances petty cash expenditures.
· Maintains a filing both manually and electronically for service teams.
· Coordinates travel plans for staff and clients.
· Assists in bookings and organization of conference rooms in the office and arranges cleaning services required to these areas.
· Oversees local travel arrangements for staff; vehicle assignment and schedule, distribution and tracking of Land Taxi/Water Taxi/Helicopter Vouchers.
B. General Organizational Responsibilities
· Participates in regular supervision with Supervisor, including an annual performance review.
· Participates in staff meetings and take minutes on a rotational basis with other admin. support staff.
· Participates in appropriate staff development opportunities.
· Provides coverage and back up support when other admin. support team members are absent.
· Ensures an organized and clean office space for staff, clients, and visitors.
· Assists with short-term projects or other duties as required.
QUALIFICATIONS:
- Ontario Secondary School Diploma
- Relevant work experience in secretarial/office setting
- Excellent computer skills with direct experience on Microsoft Word, Excel programs and online meeting platforms.
- Ability to speak Cree an asset
- Excellent organizational skills and demonstrated ability to set priorities and work effectively under pressure
- Ontario Driver’s License Required
