SUMMARY:
Through respectful and efficient client service, the Administrative Assistant will contribute to improving the well being of community members by helping them access financial assistance, employment supports, training opportunities and other services that promote stability, independence and a better quality of life.
KNOWLEDGE AND SKILL REQUIREMENTS:
• Strong organizational, time-management and file-management skills
• Strong written and verbal communication skills
• Proficiency with Microsoft Word, Excel, Outlook and electronic record systems
• Knowledge of First Nations communities, culture and services is considered an asset
• Accurate keyboarding, data-entry and document-preparation skills
• Ability to manage multiple deadlines and changing priorities
• Ability to work respectfully with clients experiencing financial, employment or personal barriers
• Ability to work independently and as part of a team
• Ability to communicate in English is required; French and/or Anishinaabemowin is considered an asset
EDUCATION AND EXPERIENCE REQUIREMENTS:
• High school diploma or equivalent
• Certificate or diploma in office administration, business administration, social services or a related field
is preferred
• Previous administrative, reception, financial-processing or client-service experience
• Experience working with confidential records and personal information
MAJOR RESPONSIBILITIES:
Income Assistance Administration
• Receive clients and respond to routine telephone, email and in-person inquiries
• Schedule appointments and provide appointment reminders
• Prepare application, review and renewal packages
• Receive, date-stamp, organize and file documents
• Assist with monthly file maintenance and scheduled file reviews
• Organize invoices, receipts and supporting financial documents
• Maintain accurate electronic and paper filing systems
• Protect the privacy and confidentiality of all client information in all verbal, written and electronic
communications
Pre-Employment Supports Administration
• Prepare PES intake packages and consent forms
• Schedule assessments, case-management appointments and follow-up meetings
• Register clients for approved workshops, training and certification
• Send workshop, training and appointment reminders
• Track attendance, participation, certificates and completion dates
• Assist with workshop and events logistics, room bookings, materials and refreshments
• Maintain training-provider, employer and community-resource contact lists
General Office Administration
• Maintain an organized and professional reception and office environment
• Scan, photocopy, print and securely store documents
• Order and monitor office and workshop supplies
• Follow Timiskaming First Nation policies, procedures and records-retention requirements
• Participate in staff meetings, training and professional development
• Perform other related administrative duties as assigned
Conditions of Employment
• Successful completion of a criminal record check, if required
• Willingness to sign and comply with a confidentiality agreement
• Reliable attendance and ability to work during regular office hours
• Occasional flexibility may be required for workshops, training or community events
• A valid driver’s licence and access to reliable transportation are considered assets
