We are seeking a team member to help support our various programs as the first point of contact for those we serve.
The Receptionist is the first point of contact for welcoming individuals and providing excellent reception and visitor information services, in person and over the phone, in a respectful, pleasant, and professional manner. This position also provides administrative support to DTSSAB’s various programs and services.
In this position, the Receptionist will:
- Maintain general knowledge of DTSSAB programs and an awareness of services provided.
- Greet visitors, answer incoming calls, and respond to electronic or other queries.
- Provide routine information about programs and communicate clearly and concisely to respond to inquiries.
- Direct inquiries and connect clients, callers, and visitors to appropriate staff and/or external resources based on needs identified.
- Assist individuals with documentation requirements, verify accuracy and completeness of documents, help complete various forms, and assist individuals with accessing and using resources in the client area (i.e.: photocopier, phone, computer).
- Prioritize and appropriately triage client needs, and ensure individuals are informed of delays or requirements.
- Monitor the activities of the individuals in the client area to ensure safety and security, as well as control office access.
- Coordinate and complete front office functions, including opening and closing procedures; process incoming and outgoing mail; establish and maintain electronic and hard copy filing systems; schedule/confirm/change clients’ appointments and advise thereof; complete data and tracking logs; monitor and ensure availability of adequate forms, paper and supplies; complete supply orders, as well as receive and distribute supplies; maintain the client and front reception area, information boards, signage, etc.
- Sort and collate documentation, prepare mailouts, compose standard communications, prepare files, and other documents.
- Provide clerical and administrative support to a variety of DTSSAB programs, as required.
- Other related program support responsibilities.
Qualifications:
- Post-secondary education in Office Administration or a related program is preferred, with training in office procedures.
- Minimum of six (6) months of direct client-service experience, preferably in a human or social services setting, providing administrative support in a multi-faceted work environment. Equivalent combination of education/experience may be considered.
- Commitment and willingness to serve vulnerable and, at times, marginalized clientele, with the ability to be empathetic and demonstrate respect and openness to diversity, as well being responsive to life’s various circumstances.
- Experience providing a wide range of administrative and clerical support functions.
- Effective communication skill, including the ability to listen carefully and empathetically to concerns or questions, convey messages thoughtfully, speak professionally and clearly, be assertive in appropriate situations, and write competently.
- Excellent interpersonal skills to establish rapport, make visitors feel at ease, as well as to work collaboratively with team members.
- Effective conflict resolution, problem-solving and ability to maintain composure in handling demanding or stressful situations and/or emotionally charged individuals, with the insight to escalate matters when further assistance or intervention is needed.
- Proven adaptability, conscientiousness, organizational skills, and the ability to successfully follow directions and procedures.
- Computer proficiency and the capacity to learn various programs/databases, and ability to adapt to technological change.
- Bilingualism (fluency and proficiency in both French and English written and verbal communication) is a requirement.
