Job Overview
This role provides a variety of administrative, clerical and support tasks for the maintenance shop and parts department. Duties of the administrator will include providing support to managers and maintenance employees, assisting in daily parts and scheduling needs, and managing the shop/parts and general administrative activities.
Responsibilities and Duties:
- Answer and direct incoming calls in a polite and productive manner
- Assist in organizing and scheduling shop work and payroll
- Work with A/P and A/R for the shop spending and expenses
- Maintain files for all vehicles and Owner Operator maintenance
- Order parts and supplies and maintain inventory levels as required
- Submit and reconcile Visa expenses for all outside repairs
- Prepare parts and work order reports
- Process internal and external purchase orders and invoices
- Keep all fleet information, PM’s, and work orders up to date
- Maintain all vehicle, shop tool, and Owner Operator maintenance files
Skills & Qualifications
- Proven experience in parts and administration
- Knowledge of parts and service management systems
- Working knowledge of office printers, fax machines, and scanners
- Proficiency in MS Office (Excel and Words in particular)
- Excellent time management skills and ability to prioritize work
- Attention to detail and problem-solving skills
- Strong Organizational skills
- Multi-tasking skills
Other duties as required
Education & Experience
- High School Diploma (minimum)
- Post-secondary education considered an asset
- 1-2 years’ experience
Pay: From $31,446.31 per year
Additional pay: Bonus pay
Schedule: Monday to Friday
