Position Overview
Crawford Mechanical Ltd. is seeking a highly organized and motivated Project Coordinator to support our growing team of Project Managers on industrial, mining, commercial, and institutional mechanical construction projects.
The successful candidate will play a key role in coordinating project documentation, tracking schedules, managing paperwork, assisting with procurement, communicating with clients and suppliers, and ensuring projects remain organized from award through closeout.
This position is ideal for someone who enjoys working in a fast-paced environment and wants to grow into a Project Management role.
Key Responsibilities
Project Administration
- Assist Project Managers with day-to-day project coordination.
- Maintain project files and documentation.
- Prepare project startup documentation.
- Create project folders and maintain electronic records.
- Track project progress and milestones.
- Assist with project closeout documentation.
- Prepare turnover packages.
Documentation & Reporting
- Prepare RFIs (Requests for Information).
- Prepare and track Submittals.
- Maintain Drawing Revision Logs.
- Track Change Orders and Extra Work.
- Prepare Purchase Orders.
- Assist with Progress Claims and invoicing.
- Track project budgets and committed costs.
- Prepare meeting minutes.
- Maintain action item lists.
Procurement Support
- Request supplier quotations.
- Coordinate material orders.
- Track equipment deliveries.
- Monitor long lead items.
- Coordinate rentals and equipment logistics.
- Follow up with vendors regarding delivery schedules.
Project Coordination
- Coordinate with field supervisors.
- Coordinate labour requirements.
- Assist with scheduling manpower.
- Coordinate subcontractors.
- Assist with project scheduling using Microsoft Project or similar software.
- Track project deadlines.
Client Communication
- Schedule meetings.
- Prepare meeting agendas.
- Communicate with owners, consultants, suppliers and subcontractors.
- Assist with project correspondence.
Quality & Safety
- Assist with QA/QC documentation.
- Maintain Inspection & Test Plans (ITPs).
- Coordinate project closeout inspections.
- Assist with turnover documentation.
- Track deficiencies until completed.
Financial Support
- Track budgets.
- Update cost reports.
- Monitor purchase orders.
- Assist with monthly forecasting.
- Assist Project Managers with project reporting.
General Administrative Duties
- Organize digital filing systems.
- Prepare reports.
- Assist with bid document organization.
- Support estimating during busy periods.
- Maintain project trackers.
- Other duties as assigned.
Qualifications Required
- Diploma or Degree in Construction Management, Engineering Technology, Business, or related field preferred.
- 2+ years of project coordination or construction administration experience preferred.
- Experience in industrial, mechanical, HVAC, plumbing, mining, or commercial construction is considered an asset.
- Strong understanding of construction documentation.
- Strong organizational and time management skills.
- Excellent communication (oral and written) and interpersonal skills.
- Ability to work independently, both in-town and out-of-town as required.
Technical Skills
- Experience with: Microsoft Office Suite (Excel, Word, Outlook, Microsoft Project (asset), Sharepoint)
- Bluebeam Revu
- Adobe Acrobat
- Procore (asset)
- Autodesk Construction Cloud (asset)
- ERP software (asset)
Physical Requirements
- Office-based position with occasional site visits.
- Valid Class G Driver’s License.
- Ability to travel to Northern Ontario project sites when required.
