Position Summary
Under the supervision of the Manager of Planning perform all the duties of Administrative Assistant for the Building and Planning Divisions.
Duties
• Act as receptionist, for the Building and Planning Divisions and assist the general public with required information;
• Create correspondence as required including memos, reports, by-laws and building orders;
• Maintain filing system which includes scanning documents and removing documents from the electronic repository, as per the retention schedule;
• Act as timekeeper for the departments: enter payroll and maintain attendance records;
• Responsible for ordering of stationery material which includes preparing purchase orders and issuing payment;
• Prepare and circulate monthly building permit reports;
• Under the direction of the Manager of Planning, undertake circulation of Planning Act applications, notices, and compliance letters as per legislation;
• Utilize GIS to conduct property searches when address inquiries are received;
• Perform other related duties as assigned.
Qualifications
• Two-year Community College Diploma in Office Administration;
• One year of previous experience in an office setting;
• Demonstrated computer skills in Microsoft Office Suite;
• Knowledge of Payroll System, Human Resource System, GIS software and documentation control system;
• Excellent verbal and written communication skills;
• Bilingualism is considered a definite asset.
