Purpose
The Surface Maintenance Clerk’s position is to provide clerical and administrative duties for the functioning of the Surface Mobile and Electrical departments.
SAFETY AND SUSTAINABILITY EXPECTATIONS
- Responsible for their health and safety.
- Attend one safety meeting per month.
- Will correct or report unsafe practices or conditions.
- Maintains a safe and healthy place to work.
- Make suggestions to improve any aspect of safety.
- Learns and follows the safety rules and procedures for safe performance of the job.
Responsibilities
- Maintain Maintenance KPI’s
- Assist with month end reports
- Review all time entries and follow up with issues. Ensure absences are recorded and crew time is maintained
- Sharepoint and Enablon Super user
- Enablon – entry of required action items, safety concerns, etc.
- Accurately track all contractor usage. Forward monthly contractor hours to Management by the end of the 4th working day following each month.
- Participate in Root Case analyses to take minutes and complete the write-ups.
- Maintain dept training records and work with team to schedule training and certifications.
Document Management
- Scan all 5-point safety cards and pre-ops
- Scan all time sheets for Maintenance Department
- File all regulatory documents
- Assist with budget spreadsheets
- Maintain equipment/ asset records
- Review work orders and task lists and assist in identifying corrective actions as required.
General Administration Duties
- Maintain schedules & crew lists.
- Create transmittals.
- File workforce personnel information and contract worker information.
- Provide support for payroll and administration issues.
- Additional tasks from the Surface Maintenance and other departments as required.
- Manage coverall services for the Surface Maintenance.
- Interact with all staff.
- Manage the department’s procurement (purchase orders, receipt of invoices)
- Follow up hiring and integration of new employees
- Resolve issues requiring knowledge of Company policies and procedures and ongoing projects
- Handle confidential and time critical material with tact and discretion.
- Responsible for file management
- Process stock request forms to the inventory team
- Help in processing Rush orders in ERP system .
- Generate requested reports and update the data as required.
Training and Education
- College Diploma in Office Administration.
- Proficiency in word processing, spreadsheets and Outlook is required.
- Mining experience preferred.
- 2 to five years as a mid-tier office administrator.
- Valid "G" driver's license
- Strong organizational, analytical, communication, interpersonal skills
- Familiarity with maintenance terminology Computer literate with proficient typing skills, and specific knowledge of Excel, Word, Access, Site CMMS and MS Project.
